Manage Users

From this section of the top help desk software you will be able to manage the users in your support system. You will be able to send html emails to your users. In addition, you will be able to create fields that can be seen by the users when they register. You may also create internal fields where you can store internal information about users. Also, you will be able to group your users into Interest Groups.

If you select Add New User you will be able to add a new user in your support system. Fill out the required fields then click update to add a new user.

Field

Description

Login

Type in the login your new user will use to access your system.

Password

Type in the password you want your new user to use when accessing your system.

Confirm Password

Retype new user password for confirmation.

Interest Group

Select the interest group you want your new user to be associated with.

This user is subscribed to email list

Check this box if the new user is subscribed to the email list and if you want him to receive your email campaigns.

Email

Type in new user email. This is a required field.

If you select search users, you will be able to manage the users in your support system via a search page. The following table gives a detailed description of the different fields you have to fill out when searching for a user you want to manage.

Interest Group

Select the interest group the user is associated with from dropdown menu.

Username

Search for user using this field if you know their username.

Signed Up From and Signed Up To

Use date dropdown menus to search for users within a specific date range.

Email

Type in user's email you want to search.

Show

Select the number of users you want displayed after search.

If you click Customize User Profile Fields you can add, edit, and delete fields that will be used for the user record. Certain fields will give you the option of having default values. Default values are the values that will be selected when the field is displayed.  If you wish to edit a field you can click the edit field button next to it, and if you wish to delete one, then select the field and click Delete Selected.

When you select Add Field you will be taken to this screen.  You can create fields of different types, if you create a menu you will also have to choose the options they can choose.

Type in Field Name.

Required

Check this box if you want the field to be required.

Click on link next to dropdown to get more information about this field.

Display field on a profile page

Check this box if you want this field displayed on  a profile page.

Display field on a new ticket signup page

Check this box if you want this field displayed on the new ticket signup page.

If you select Manage Interest Groups you will be taken to this page.  Using Interest groups is a way to categorize your contacts. Each contact is required to be in an interest group. From this section, you can add, edit, and delete an interest group.

If you select Add Interest Group you will be taken to this page. Interest groups that are marked as Default will be connected to the registration forms. There can only be one Interest group that is marked as Default.

Interest Group

Type in Interest Group name.

Default

Check this box if you want this interest group to be the default interest group.

If you select Manage Email Campaigns you will be brought to this screen. You will be able to add campaigns to send to your users, manage monitor links, build html emails, and manage bounced emails.

If you select Add Campaign you can setup an email campaign to send to your users.

Field

Description

Campaign Name

Type in the name of your campaign.

Subject

Type in subject of the campaign.

From

Type in email address you want to appear when the person gets your email.

Return-Path

When the user gets your email, the Return-Path will be set to whatever is in this field.

Reply-To

When the user gets your email, the reply-to will be set to whatever is in this field.

To

Select who you want to receive the campaign from the options given. You may choose more than one category.

Unique ID method

You can use a unique id for your emails that will differentiate them from spam.

Unique ID for the next mailing

If you would like to set the id yourself you can input it here.

Text Email Body

This field has to always be filled out because if the person does not have an HTML email compatible program then this email will appear

Select one of the HTML emails that you built in the Build HTML EMAIL section

This section is only required if you want to send out a HTML email.

Location of HTML I want to send

Specify a link to a page that you have designed on this field.

Send Email Date and Send Email Time

Set the date you want to send the campaign. Also, set the time you want to send the campaign.

From the Manage Monitor Links page you can create links where you can monitor the impression and clicks from your email campaign. Once you create a link, the system will generate code that you will insert in the html pages that you will create. This code will allow the system to monitor the link.

Text that should appear in your HTML email for that given link

Type in the text that you want associated with the new link.

Link to where the text will take you

Type in url for your link.

From the Build HTML Templates page you can build HTML Newsletters from pre-made templates. Select a Newsletter and go into the pages you want to modify from the template.

If you select Manage Bounced Email you can manage emails that get returned to your support desk when sent through your contact manager. There are different types of bounce emails and you can set options for each in this section and also move the users to a certain interest group based on the type of bounce. In addition, you have the option to send an email to the administrator if a bounce email gets filtered into the support area.

Hard Bounce Action

You can set the built in email system to resend a message or take other actions in the event of a hard bounce.

And/Or move to

You can also have the software move names to a new list when they experience a hard bounce

Notify Admin

If this is checked the Administrator will receive an email when messages are hard bounced.

Soft Bounce Action

You can set the built in email system to resend a message or take other actions in the event of a soft bounce.

And/Or move to

You can also have the software move names to a new list when they experience a soft bounce

Notify Admin

If this is checked the Administrator will receive an email when messages are soft bounced.

POP Server

This is the Server your email will be going through.

POP Username

This is the Username used to login to the server.

POP Password

This is the Password used to login to the server.

Port

This is the Port you will access the server through.

Delete email from server after fetching

If this option is checked the copies will be deleted from the source once they are retrieved.

If you select User Statistics from the main page, you will be taken here. This page shows how many users are subscribed, users that are not subscribed, users from the support desk interface, and users from admin interface. You can also monitor your email links.
